When do I choose Kaltura (Newrow) Live Room?

Kaltura Live Room is an online tool that allows you to give interactive lectures with up to 99 participants. It is an environment where you can show and lecture your powerpoint, show a video, have a quiz or have students discuss in groups.


The use of the tool is not suitable for: 

  • Non-interactive lectures (rather use Kaltura Capture), 

  • Groups of over 100 people. Please contact the Remote Teaching helpdesk for information on setting up Kaltura for larger groups.

  • An interactive lecture for students in different time zones 

  • Facilitating collaboration in small groups (rather use MSTeams*). 

*More information about how to use this tool will follow soon. Videorecording is not allowed in MSTeams due to privacy concerns. 


Setting up a Live Room with 40-99 participants

With more than 40 participants, we recommend appointing a moderator who will monitor the students' questions and pass them onto you as a presenter. You can also ask a student to be the moderator and the spokesperson of the group.

Setting up a Live Room with less than 40 participants

With less than 40 participants, you may be able to monitor the chat and answer all questions yourself. 

Advice on conducting an interactive lecture

Manage expectations: for example, indicate that you are going to explain a topic first and that there will be time for questions afterwards. In the meantime, students can ask questions in the chat or raise their hands. 

Using web cameras and recording lectures

Using a web camera for classes should only be done if it is of added value to the class or a necessary component of the class. If it is not necessary then all students should have their cameras off. 

If you wish to record your lecture there are a number of steps that should be taken in order to ensure that it is done in a privacy-conscious way. Information on how to record your lectures in a GDPR compliant way, ask permission from students and more can be found here.

What do I need in order to work with Kaltura Live Room?

  • A stable internet connection

  • A laptop or desktop, preferably with a camera

  • Microphone, from the laptop itself or via a headset 

  • Access to Chrome or Firefox as a browser

Attention! It demands a lot of memory capacity from your computer to host a Live Room. Therefore, remember the following:

  • Regularly restart your computer or laptop to free up temporary memory.

  • Close other browsers and applications when you have a Live Room open

  • Don't leave Live Rooms open for hours; this also costs capacity.

How do I create a Kaltura Live Room?

We recommend using Chrome or Firefox as a browser to get the best quality from the Live Room. Other browsers may not work well with this software.

There are three ways you can start a Kaltura Live Room:

  1. Recommended - Via the video portal

  2. Via Blackboard

  3. Via Brightspace

Creating a Live Room via the video portal

  1. Go to https://video.leidenuniv.nl/  

  2. Log in with your ULCN credentials

  3. Go to Channels

  4. Select Create Channel

  1. Give your channel a title

  2. Make sure Enable Newrow Live Room is turned on

  3. Select the desired topic

  4. Click on save

  5. You don't have to invite students through the video portal.

In the next screen, select "Go back to channel". You will then see the following screen:

Select here: Launch Live Room
The screen below will appear. You are now in the Live Room.

Invite students
Via the "invite" button in the menu at the top of the screen, you can copy the link to the Live Room. You can then share this link with colleagues, students and other participants by LU e-mail, via an announcement or via a content page in the course.

Don't forget to set a password and share it as well. In this way you can prevent unwanted visits to the Live Room. The link to this Live Room will remain in existence indefinitely and can therefore be used several times.

Attention: Per link only one session can take place at a time, so when you need multiple sessions at the same time, a new link needs to be made for each session.

Create a Live Room via Blackboard

This method is not recommended. Please set up your Live Room through the video portal.

Setting up a Live Room within a course on Blackboard can be done using the following steps:

  1. Open your course

  2. Go to course management and select 'course tools 

  3. Choose Media Gallery

  4. The video portal will open. Here you can select 'launch Live Room'.

This Live Room will remain linked for the rest of the duration of the course and can always be reused.

 

Invite students

Via the "invite" button in the menu at the top of the screen, you can copy the link to the Live Room. You can then share this link with colleagues and students by Leiden University  e-mail, via an announcement or via a content page in the course on Blackboard.

Don't forget to set a password and share it as well. In this way you can prevent unwanted visits to the Live Room. The link to the Live Room will remain in place indefinitely and can therefore be used multiple times. 

Attention: Per link only one session can take place at a time, so when you need multiple sessions at the same time, a new link needs to be made for each session.


Multiple channels needed simultaneously? 

When you need multiple channels at the same time, these need to be added via the video portal. The instructions for this method can be found here.

Creating a Live Room via Brightspace

This method is not recommended. Please set up your Live Room through the video portal.

Setting up a Live Room within a course on Brightspace can be done using the following steps:

  1. Open your course

  2. Go to course management and select 'course tools’ 

  3. Choose Kaltura Media Gallery

  4. The video portal will open. Here you can select 'launch Live Room'. 

This Live Room will remain linked for the rest of the duration of the course and can always be reused.
